Terms of Service
Effective date: May 24, 2025
These Terms of Service ("Terms") govern your access to and use of RentFlow PH("Service"), operated by RentFlow PH. By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
1. Description of Service
RentFlow PH is a web-based property management platform for landlords in the Philippines. Features include tenant management, lease tracking, rent collection via GCash/Maya/credit card, maintenance request tracking, financial reporting, and optional managed services add-ons.
2. Eligibility
You must be at least 18 years of age and legally capable of entering contracts under Philippine law. By using the Service, you represent that you meet these requirements. The Service is intended for use by property owners, authorized property managers, and their tenants within the Philippines.
3. Account Registration
- You are responsible for maintaining the confidentiality of your login credentials.
- You agree to provide accurate, current, and complete information during registration.
- You are responsible for all activity that occurs under your account.
- Notify us immediately at legal@rentflow.ph if you suspect unauthorized access.
4. Subscription Plans and Billing
RentFlow PH offers Free and paid subscription plans. Paid plans are billed monthly or annually in Philippine Pesos (₱) as indicated on our Pricing page.
- Subscriptions automatically renew unless cancelled before the next billing date.
- You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period — no partial refunds are issued.
- We reserve the right to change pricing with 30 days' notice to existing subscribers.
- Payment processing fees charged by PayMongo are separate from our subscription fees.
5. Your Data and Content
You retain full ownership of all data you input into the Service, including property details, tenant information, lease terms, and financial records. By using the Service, you grant us a limited license to process and store your data solely to provide the Service to you. We do not claim ownership of your data and do not sell it to third parties.
You are responsible for ensuring that any tenant data you enter has been collected lawfully and that you have obtained any required consent under the Philippine Data Privacy Act (RA 10173).
6. Acceptable Use
You agree not to use the Service to:
- Violate any Philippine law or regulation.
- Enter false, misleading, or fraudulent information.
- Infringe the rights of tenants, co-owners, or any third party.
- Attempt to gain unauthorized access to other accounts or system components.
- Use the Service for any purpose other than legitimate property management.
- Reverse-engineer, copy, or resell any portion of the platform.
7. Managed Services
RentFlow PH may connect you with third-party service providers (caretakers, maintenance crews, property managers) through our Managed Services add-ons. We act as a facilitator, not a party to agreements between you and those service providers. Quality, timeliness, and outcomes of managed services are the responsibility of the provider. We are not liable for actions or omissions of third-party service providers.
8. Payments and Receipts
Rent payments are currently recorded manually by landlords within the platform. When online rent collection becomes available, payments processed through the platform will be handled by PayMongo, Inc. and subject to PayMongo's terms and fees. RentFlow PH lets you record official receipt (OR) details in a BIR-friendly format as a convenience feature; automatic receipt generation is coming soon. We do not provide tax advice. You are solely responsible for your own tax obligations under Philippine law.
9. Limitation of Liability
To the maximum extent permitted by Philippine law, RentFlow PH and its officers, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service, including but not limited to loss of rental income, tenant disputes, or data loss.
Our total cumulative liability to you for any claim arising out of or related to these Terms or the Service shall not exceed the total amount you paid us in the 3 months preceding the claim.
10. Service Availability
We strive for high availability but do not guarantee uninterrupted service. We may perform scheduled maintenance (with advance notice where possible) or experience unplanned outages. We are not liable for damages arising from service interruptions.
11. Termination
You may delete your account at any time from your account settings. We may suspend or terminate your account for violation of these Terms, non-payment of subscriptions, or activity we reasonably believe is harmful or fraudulent. Upon termination, you may request an export of your data within 30 days.
12. Governing Law and Disputes
These Terms are governed by the laws of the Republic of the Philippines. Any dispute arising from or related to these Terms shall be submitted to the exclusive jurisdiction of the proper courts of Metro Manila, Philippines. Before initiating legal proceedings, both parties agree to make a good-faith effort to resolve disputes through direct negotiation.
13. Changes to These Terms
We may update these Terms from time to time. We will notify registered users by email at least 30 days before material changes take effect. Continued use of the Service after that date constitutes your acceptance of the updated Terms.
